POSITION SUMMARY:                  

The Promoter Relations Manager is responsible for assisting the VP, Promoter and Media Partner Relations (“VP”) with managing the relationship with INDYCAR Promoters and the development and facilitation of INDYCAR’s strategy for improving IndyCar Series events.

 

SPECIFIC DUTIES:

Promoter Relationship Development and Management

  • Generally, assist VP with managing the Promoter relationships, including but not limited to the following:
  • Lead the Promoter onboarding process, including providing new Promoters all necessary orientation information and establishing the Manager as the Promoter’s first contact for questions or requests to INDYCAR
  • Serve as the day-to-day liaison to Promoters on behalf of INDYCAR to address all Promoter needs at all points during the year
  • Schedule and develop the agenda, and lead all pre-event calls with Promoters leading up to the applicable IndyCar Series events
  • Manage the development, organization, and distribution of all follow-up information after pre-event calls, and generally developing the first-line management plan of all issues that arise prior to the applicable IndyCar Series event
  • Compile information and develop the post-event after-action reports for VP’s review prior to distribution to Promoters
  • Lead scheduling, logistical planning, and booking of other regular meetings/calls with Promoters, including annual (or bi-annual) Promoter summit
  • Assist VP with development of effective communication strategies to Promoters regarding relevant INDYCAR initiatives
  • Draft and send regular communications on behalf of and in consultation with VP on a timely basis as directed, and assist with the preparation of presentations to internal stakeholders and Promoters as directed
  • Assist with solicitation of feedback from Promoters regarding improvements to future races, and compile and organize responses from Promoters in order to create INDYCAR’s plan to address issues identified
  • Continue to develop motorsports knowledge and deepen industry relationships to continue to foster strong INDYCAR-Promoter relationships

 

IndyCar Series Event Contract Management

  • Serve as manager and “expert” on INDYCAR’s event agreements between INDYCAR and Promoters, meaning Manager will maintain complete knowledge of each of INDYCAR’s and Promoter’s obligations under the event agreements
  • Serve as the in-house and external resource and liaison for the first-line communication of all issues/conflicts between INDYCAR and Promoters, including assessing party obligations under the applicable event agreement and communicating such analysis to VP and conducting any follow-up necessary
  • Ensure Promoter contract terms are adhered (including payment schedule, risk and insurance requirements, etc.), assist with management of INDYCAR and Promoter logistical deliverables by venue, and communicate with Promoters regarding the same

 

QUALIFICATIONS:

Supervisory Responsibilities

  • This position does not have supervisory responsibilities

Education

  • Bachelor’s degree preferred

Skills/Experience

  • Minimum of 7 years’ experience, knowledge and relationships in motorsports,
  • Very well-organized and strong ability to multi-task and handle changing priorities
  • Demonstrated ability to manage master calendar and calendars of internal cross-functional teams
  • Excellent written and verbal communication skills
  • Strong interpersonal skills, pleasant demeanor, and client-service minded approach
  • Ability to take complex projects to completion and overcome distractions
  • Strong team player and demonstrated success working with cross-functional teams
  • Strong typing skills and proficient in Microsoft Word, Power Point, and Excel

Travel/Work Hours

  • This position is required travel to IndyCar Series events as needed and in coordination with VP to ensure a representative of the department is present at each event.
  • The position requires flexibility due to being an event-driven business. Traditional and non-traditional work hours expected.
  • Must be able to answer calls/emails after hours and on the weekends.

  • Physical demands consist primarily of sitting, standing and walking.
  • Must be able to see and hear in the normal range with or without correction and communicate verbally and in written form with great facility and must be able to be understood.
  • Must have the stamina to work long hours and must be willing to work an irregular schedule, which may include weekends or evenings.
  • Occasional work outdoors requires physical strength and stamina to endure extreme heat, cold, rain and other conditions.
